Electronic logbook - these are the advantages
In principle, a logbook serves as proof of the kilometres driven as well as for documenting the reason for the journey. Normally, the driver's name, place of departure, date and the kilometre reading at departure and arrival are entered. The latter is used to monitor the distance travelled.
It also makes sense to note the purpose of the journey. The advancing digitalisation is of course also affecting the company car sector and therefore more and more companies are using electronic driver's logbooks. The following article explains why this is the case.
What is the purpose of a logbook?
In the course of fleet management, the purpose of the logbook is to report the type and purpose of the use of a company car. In this way, the fleet manager can see whether the journeys are economically and ecologically balanced and optimise them if necessary.
Another important reason is the separation between business and private journeys. A clearly and correctly kept logbook is essential for the private use of company vehicles.
It is important that the information in the logbook is always comprehensible, plausible, correct and complete.
What are the advantages of an electronic logbook?
Time saving
If electronic driver's logbooks with GPS function are used, the destination and arrival no longer have to be written down by hand, but are recorded automatically. In addition, several departments in the company have access to the electronic version - for example, the accounting department no longer has to wait to receive and evaluate the haptic logbook.
Clear representation
Many fleet managers will have trouble deciphering the writing of some company car drivers. An electronic logbook has the benefit that the entire structure (and also the writing) can be standardised.
Simple monitoring at the touch of a button
Digital data can be downloaded and displayed or interpreted in real time. Many software solutions also offer automatic graphics that show, for example, the useful life in diagrams.
More sustainable archiving
Depending on the size of the fleet, analogue driver's logbooks can accumulate a lot of paper that has to be archived for years. Electronic logbooks store their data digitally and can be viewed at any time.
Changes can be made more efficiently
Everyone knows this feeling. You write something down in a hurry and then realise that the note is not correct. In the case of the logbook, this could be an incorrect kilometre reading. If you cross out the information and rewrite it, the note quickly becomes confusing. With the digital version, you don't have this problem because you can simply revise the relevant part.
The accounting department will thank you
In a carefully managed company, the accounting department ensures that the threads between the authorities, the company and company car drivers come together. To ensure correct tax processing and optimal internal controlling, it is worth switching to a digital driver's logbook. After all, it also serves as reliable proof for declarations to the tax office and relieves the administrative staff.
